10 admin tasks business owners can automate with AI this week

Admin is the work behind the work. It keeps the business running, but it doesn’t grow it. And for many business owners, it quietly eats ten or more hours every week.

I’ve been doing admin for business owners for more than 13 years, and these days I do a lot of it with AI. Not to replace people, but to stop wasting human time on repetitive tasks.

Here are 10 admin tasks you can start automating this week.

1. Replying to new enquiries

An instant, friendly reply with a booking link means no lead waits overnight. Set it up once in your CRM or email tool.

2. Booking and rescheduling

Stop the back-and-forth “Does Tuesday work?” emails. A booking calendar with automatic reminders handles scheduling for you.

3. Writing first drafts of emails

AI tools like Claude and ChatGPT can draft replies, follow-ups and newsletters in seconds. You review and personalise. It’s faster than starting from a blank page.

4. Summarising meetings

Recording tools can transcribe meetings, and AI can turn the transcript into a summary with action items. No more scribbled notes.

5. Following up with leads

A short automated sequence across email and text keeps leads warm until they book, and stops when they do.

6. Collecting reviews

Send review requests automatically when a job is complete, with one gentle reminder.

7. Sorting your inbox

Filters, labels and AI assistants can sort incoming emails, flag urgent ones and draft responses to common questions.

8. Creating social media content

AI can help you turn one blog post or video into a week of social posts. Schedule them in advance and you’re done.

9. Invoice and payment reminders

Late payments are awkward to chase. Automated, polite reminders do it for you, on schedule, every time.

10. Client onboarding

When a new client pays, they can automatically receive a welcome email, a questionnaire, and a link to book a kickoff call. It looks professional and saves hours.

Where to start

Don’t try to automate everything at once. Pick the task that:

  • Happens often
  • Follows the same steps every time
  • Doesn’t need your personal judgement

That’s your first automation.

A word of caution

AI is a great assistant but a poor boss. Always review anything that goes out under your name, keep sensitive information secure, and don’t automate the personal moments that build relationships.

The tools behind it

Many of these automations work best when your contacts, email, calendar and payments are in one system. I use Tekmatix for tasks 1, 2, 5, 6, 9 and 10, because they’re all connected inside one platform. For drafting, summarising and content (3, 4 and 8), I use AI assistants like Claude. You don’t need my exact setup, but it helps to have tools that talk to each other.

Frequently asked questions

Will AI replace my assistant?

Not really. AI handles repetitive tasks well, but people still bring judgement, relationships and context. The best results come from both working together.

Is it safe to use AI for business admin?

Generally yes, if you avoid putting sensitive client data into tools that aren’t approved for it, and you review outputs before sending.

How much time can automation save?

It depends on your business, but many owners get back several hours a week from just two or three well-chosen automations.

The bottom line

You don’t need a big tech project to get your time back. Pick one task from this list, automate it this week, and build from there.
