These are the tools I use every week to run admin for business owners. I only list tools I actually use, and I’ll tell you who each one suits and who it doesn’t.

Tekmatix: CRM, email and funnels in one place
What I use it for: contacts, email sequences, opt-in forms, landing pages, calendars and automations. My own AI Admin Audit runs on it.
Good fit if: you’re paying for five or six separate tools (email, booking, forms, CRM, pages) and want them talking to each other.
Maybe not if: you only need a simple newsletter. It’s a full platform, so there’s a learning curve.
Time Doctor: tracking remote work hours
What I use it for: tracking my hours by project, and turning those reports into my weekly invoices.
Good fit if: you pay a remote assistant or team by the hour and want clear reports without checking in all day.
Maybe not if: you pay a fixed monthly retainer and only care about results.
Wise: paying people overseas
What I use it for: sending and receiving international payments, including staff payroll, with the fees shown upfront.
Good fit if: you pay a VA or contractor in another country and want them to get more of what you send.
Maybe not if: everyone you pay is in your own country.
Claude: my AI assistant
What I use it for: drafting emails, summarising long threads, writing SOPs and turning messy notes into clear documents. No affiliate link here, I just use it every day.
